One World Media is currently seeking a highly organised and detail-orientated Office Manager to oversee a variety of administrative functions within their office.

The ideal candidate will be able to process invoices, build and manage online filing and archive systems, and update office paperwork. This role is crucial for ensuring the smooth operation of their office. There may also be some opportunities to get involved in supporting the delivery of their programmes.

Key responsibilities

As Office Manager, you will be involved in:

Coding and Processing Invoices

  • Accurately code and process invoices in a timely manner.
  • Liaise with vendors and internal departments to resolve any discrepancies.

Managing and Updating Online Filing and Archiving System

  • Oversee the re-organisation and maintenance of online filing and archiving systems.
  • Cataloguing our production outputs.
  • Regularly update and ensure the integrity of the filing system.
  • Develop and implement new filing procedures, as necessary.

Updating and Monitoring Office Paperwork

  • Maintain and update all office paperwork, including but not limited to insurance documents, meeting minutes, and Memorandums of Understanding (MoUs).
  • Ensure all documents are up-to-date and compliant with company policies.
  • Monitor deadlines and renewals of all relevant paperwork.
Qualifications

They are looking for someone who can demonstrate:

Essential Criteria

  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • High proficiency in Cloud based software and applications
  • Strong organisational and multitasking abilities.
  • Good communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive information with confidentiality.
  • Ability to work independently, prioritise and take initiative.

Desirable Criteria

  • Experience of having worked in the non-profit sector or within a media organisation.
  • An interest in independent journalism or filmmaking.
