ClimateWorks Foundation is seeking an Events Associate to join its dynamic Marketing and Communications team and play a key role in organizing high-impact internal and external events that advance the Foundation’s mission to end the climate crisis by amplifying the power of philanthropy.
In this role, you will provide critical project management, logistics, and communications support to ensure the successful execution of major organizational events — including all-staff retreats, in-town weeks, and key external convenings. You will be the operational backbone of the events function, ensuring timelines are met, budgets are protected, and communications are consistent and engaging.
Key Responsibilities
- Lead the operational planning and execution of internal and external events under the direction of the Events Manager.
- Serve as the project management hub, tracking milestones in Asana, enforcing deadlines, and ensuring stakeholder alignment.
- Coordinate with vendors, venues, and internal teams to manage logistics such as travel, lodging, catering, and technology support.
- Manage intake and scoping of new event requests, helping shape agendas, staffing needs, and timelines.
- Act as the primary point of contact for staff inquiries regarding event planning processes.
- Build and manage customized event registration systems and attendee lists.
- Create and maintain event websites using Stova/Cvent (or similar platforms).
- Draft and distribute event communications via email marketing tools to drive engagement.
- Maintain a centralized repository of event assets, templates, and documentation.
- Partner with the IS&T team to optimize and implement event management systems.
Eligibility
- 3–5 years of experience in event coordination, project management, or operations within a fast-paced organization.
- Proven ability to manage complex logistics with accuracy and efficiency.
- Strong proficiency in Salesforce and Asana.
- Exceptional organizational, communication, and multitasking skills.
- Ability to interact confidently with senior leadership and cross-functional teams.
- Flexible, proactive, and calm under pressure, with strong problem-solving skills.
- Experience with event budgets and vendor relationships is an asset.
- Cvent certification preferred but not required.
