The Development Assistant provides crucial support for ICFJ’s fundraising initiatives in three major ways: maintaining an accurate donor database, drafting and sending donor communications and assisting with event logistics. This includes support for special campaigns and outreach efforts, both online and off, producing high-quality correspondence and e-blasts that will help generate contributions.
Responsibilities
Database
- Input and update accurate donor and prospect information in Salesforce
- Run reports in Salesforce
- Organize and maintain department information in Google Drive, Salesforce and Sharepoint
- Collect and analyze background information to support grant proposals and reports
Communications
- Draft donor correspondence, including acknowledgement letters, templates, receipts and customized donor correspondence
- Record letters in Sharepoint and update donor records in Sharepoint
- Track follow-up letters from meetings with funders, potential donors, board members, and other supporters
- Assist in managing the correspondence process for the department, including copying, scanning, filing and mailing
Events
- Assist with the production of cultivation and fundraising events including, but not limited to: drafting invite lists, creating invitations or e-blasts, coordinating with vendors, assisting in producing event materials, and other tasks as needed
- Conduct research on prospects, guests, donors, foundations and any groups that would be of interest to ICFJ
- Assist in Sponsor Management by:
- Updating sponsors payment statuses
- Ensuring all materials are gathered from sponsors
- Providing sponsors with the information they need to partake in the event
- Create and update mailing lists for mass mailings (Examples: Annual Tribute invite & Annual Review)
- Produce donation reports and analyses on fundraising and cultivation events
Finance
- Maintain financial records in Salesforce and SharePoint and coordinate donor data with the Finance department
- Draft and submit invoices, expense reports, credit card reconciliations and receipts
- Produce weekly donation reports for team to review
Department Activities
- • Schedule meetings
- • Arrange travel, transportation and lodging as needed
Perform other organizational and administrative duties as assigned and as appropriate to the workload and needs to ICFJ and its effective operation.

Qualifications and Requirements
- Bachelor’s degree required
- Minimum of two years of experience in providing quality project support
- Knowledge and experience with database systems
- Outstanding attention to detail
- Ability to multitask
- Strong writing skills
- Basic HTML skills and communication platform design skills
